Sending the signing link by WhatsApp or SMS
Add a text message to the email invitation: what you set, what the signer gets, and what happens when a text can't be sent.
You can ask SignSpry to send a signer the same signing link by WhatsApp or SMS as well as by email. The email always goes; the text is an extra nudge.
Turn it on for a recipient
- On the prepare screen, add the recipient's name and email as usual.
- Open the recipient's ⚙ panel (the button at the end of their row).
- In the 📱 Text row, type the Phone number for WhatsApp or SMS.
- Choose Email + WhatsApp or Email + SMS instead of Email only.
- Send as normal.
Type the number with its country code, for example +44 7700 900123. A bare ten-digit number starting 6, 7, 8 or 9 is taken to be an Indian mobile number. Anything else without a country code is refused rather than guessed, and you are told which recipient needs fixing.
The panel is there for people who sign or witness; CC recipients don't have one.
What the signer receives
| Message | Sent by text? |
|---|---|
| The invitation | Yes |
| Reminders (automatic and Remind pending signers) | Yes |
| The completed copy | Yes, a link to their sealed copy |
- WhatsApp messages use approved message templates, along the lines of "{sender} has sent you a document to sign: {title}. Open it here: {link}". They are in the signer's language when a template in that language has been approved, and in English otherwise.
- SMS messages carry a short link that opens the normal signing page. Short links work for 60 days. SMS outside India is in the signer's language.
- SMS to Indian numbers is always in English, because Indian rules require every commercial SMS to match a pre-registered template (DLT). Until SignSpry has completed that registration, SMS to a +91 number is not sent. The recipient still gets the email, and WhatsApp if you chose it.
Nothing about the signing itself changes: the link leads to the same signing page, with the same access code or one-time code if you set one.
Check that it arrived
On the envelope page, under the recipient, you'll see a line such as WhatsApp · +44 77••••0201 — delivered. The number is partly hidden on purpose. The line can say:
- sent or delivered — it went, and the phone's network confirmed it (WhatsApp "read" also shows as delivered)
- not delivered followed by the reason — the network or provider refused it
- not sent: the number has opted out
- not sent: SMS to Indian numbers waits for DLT registration
- not sent: the channel is switched off
Every attempt is also recorded in the audit trail, with the masked number, so you can show which number a link went to.
Opt-outs
A person who replies STOP to a WhatsApp message from SignSpry stops receiving WhatsApp messages on that number; START turns them back on. Opt-outs reported by the SMS network are honoured too. An opted-out number is skipped, so the signer is reached by email only.
Things that never send a text
- Signing-group slots. Group members are emailed only. See Signing groups.
- Sandbox envelopes made with a test API key.
- Recipients with Email only selected, or no phone number.
From the API
Give each recipient phone (with country code) and notify set to whatsapp or sms. If that channel isn't switched on, the call is refused with a 400 error naming the recipient. See the API quickstart.
