Signing groups: any one of several people may sign

Give one signing slot to a group, such as any director or anyone in Accounts, and the first member to sign completes it.

A signing group is a set of people where any one member can sign for one slot. Everyone in the group gets a personal link by email; the first to sign completes the slot and the others' links stop working. It suits "any director may sign" or "anyone in Accounts".

Create a group

  1. In Envelopes, open Signing groups in the left-hand list.
  2. Under New group, type a Group name.
  3. Under Members, add one person per line, either as Name <email> or just the email address.
  4. Choose Create group.

A group needs a name and at least two members. Groups belong to the person who creates them, so colleagues don't see each other's groups; create one each, or ask the colleague who sends the envelope to do it.

Use it on an envelope

  1. On the prepare screen, add a recipient for the slot. Give the row a name (the group's name works well) and an email address.
  2. Open that recipient's ⚙ panel and, in the 👥 Group row, pick your group. The note beside it reads "any member may sign for this slot".
  3. Place the fields for that slot as for any signer, and send.

The 👥 Group row only appears once you have created at least one group.

The address on the slot's own row is only a placeholder. The invitation goes to every member of the group, not to that address.

What happens when you send

  • Each member gets their own invitation. It says "Any one member of your group may sign."
  • The first member to open the link takes the seat, and whoever signs is the person named in the audit trail and on the certificate.
  • The moment someone signs, every other member's link stops working.
  • Routing order still applies: the group's slot is invited when its step comes round, like any other signer.

You can still add an access code, a delay, a condition or a language to the slot. Reminders go to every member while the slot is open.

What group slots don't do

  • They never send WhatsApp or SMS; group members are reached by email only.
  • A member can't use Assign to someone else, and can't ask others to approve or sign first. Those options are refused for group slots.
  • You can't edit a group after creating it. To change the members, create a new group and use that on new envelopes.
Don't delete a group while an envelope is still waiting on it. Reminders for that slot need the group to exist.
