Every email SignSpry sends, and who gets it
The emails signers, senders and account holders receive from SignSpry, so you can tell people what to expect, and how to switch off the optional ones.
Knowing what lands in your signers' inboxes helps you warn them, and helps you spot a real SignSpry email from a fake one.
Who the email appears to come from
Emails to signers come from SignSpry's address but show your organisation's name as the sender. Reply-To is you, the person who sent the envelope, so when a signer hits Reply, the answer reaches you and not SignSpry. If you've added your logo, it appears in the email header.
Each signer's emails are in their own language when SignSpry has it, so your Hindi-speaking signer gets a Hindi invitation. See Signing languages.
To your signers
| When | Subject starts | |
|---|---|---|
| Invitation | Their turn comes | Your signature is requested |
| Reminder | Automatic or Remind pending signers | Reminder: your signature is requested |
| A message from you | You reply to a signer's comment | Message about … |
| One-time code | They open a link you protected with a code by email | Your verification code |
| Request to approve or sign | A signer brought them in | Your approval is requested or Your signature is requested |
| The answer | The person they asked has replied | Approved, Signed or Declined |
| Completed copy | Everyone has signed | Completed |
| Fresh copy link | They asked for one from a used link | Your signed copy |
The completed email carries a personal link to the sealed copy, good for 30 days, and the PDF itself is attached when it is small enough. CC recipients get it too. A link they've lost can be replaced from the page it opens, no more than once every ten minutes.
If you chose WhatsApp or SMS for a recipient, the same links also go by text. See WhatsApp and SMS for signers.
To you, the sender
| When | |
|---|---|
| Completed | Every signer has finished (with the sealed PDF when it fits) |
| Question | A signer wrote you a comment |
| Declined | A signer declined, with their reason |
| Paper requested | A US signer withdrew consent and asked for paper |
| Reassigned | A signer handed their request to someone else |
| Helper added, Update | A signer brought someone in, and they answered |
| Expired | The envelope ran out of time before everyone signed |
| Not sent | A scheduled send couldn't go out; the envelope is back in your drafts |
| Monday summary | A short digest of last week; skipped on quiet weeks |
You aren't emailed each time a signer opens or signs. The envelope page and the audit trail show that as it happens.
The Monday summary arrives from 8 am on Monday, in the time zone saved on your profile or organisation. Admins also get usage notices when the month's envelopes reach 80 % and 100 %.
Account emails
These go to the person concerned: the welcome email and sign-up verification code, password reset (one use, valid for one hour), a notice that your password changed, a notice when a backup code is used, the two-factor code by email, API-key-expiring warnings, "your export is ready", the account-deletion request, reminder and cancellation, invitations to join an organisation, support-ticket confirmations and replies, and invoices, receipts and billing notices.
What you can switch off
Under Email preferences you can turn off the Monday summary, the usage notices and product tips. See Email preferences. Product tips go to account holders only, never to signers, and carry an unsubscribe link.
Signing invitations, reminders, completed copies, receipts and tax invoices, security notices and account changes are always sent, because they are the service itself.
Keep your own record
Admins can add up to three addresses under Admin → Signing defaults → Compliance archive (blind copy every outbound email). Each email SignSpry sends for your organisation is blind-copied there, and recipients never see the addresses.
If a signer says nothing arrived
The envelope page shows a Not delivered warning when an invitation bounced, with Try sending again and Fix the address. See Email not arriving.
