Set up your organisation in ten minutes

The settings an admin should fix before the first real envelope goes out: defaults, people, branding, security and billing details.

Do these seven things once, in this order, and the first real envelope will go out looking right. Most are under Admin in the top bar; you need the Admin role to see them.

1. Signing defaults

Open Admin → Signing defaults. These are starting values for every new envelope, and senders can still change them per envelope.

SettingWhat it does
Organisation countrySets how numbers, dates and money are written, the default paper size, and which address and tax-ID fields your invoice details ask for. "Automatic" works it out from the time zone.
Organisation time zoneUsed for the certificate of completion, dates in emails, and signature stamps when a signer's own clock isn't known.
Organisation languageThe language your members see unless they choose their own. The default is "Automatic — each person's browser".
Envelopes expire after7, 15, 30 or 90 days, or Never.
Auto-reminders while pendingOff, every day, every 2 days, every 3 days or weekly.
Signers may decline / hand over / ask a helperThree tick-boxes that decide what signers are allowed to do.

Press Save defaults. Retention (how long finished documents are kept) is on the same page. It starts on "Never — keep forever", which is a safe place to begin until you have decided a policy.

2. Branding

On the Team plan, Admin → Branding takes your logo (PNG, JPG or SVG, up to 1 MB), company name, brand colour and an optional email footer note. See Putting your brand on it.

3. People and teams

Add colleagues under Admin → Users and choose a role for each. If departments should only see their own envelopes, create them under Admin → Teams. See Invite your team and Teams and departments.

4. Payments from signers (only if you need them)

If documents will carry payment fields, set up where the money goes under Admin → ₹ Collect payments. See Payment fields.

5. Security

Turn on two-factor for yourself under Password & 2FA in the account menu. To make it compulsory, tick "Require two-factor authentication for everyone in this organisation" on Signing defaults; members without it are taken to their Password & 2FA page at sign-in until it is set up.

6. Invoice details, before your first payment

Open Plan & billing → Invoice details and enter your registered name, address, billing email and tax ID (GSTIN in India). An invoice that has already been issued can't have a tax ID added, so do this first. See GST and tax invoices.

7. Send a test

Nothing needs setting up for email: invitations come from SignSpry's address showing your organisation's name, and replies go to the sender. Send a document to yourself.

The Get started card on Home tracks your own progress through five steps:

  1. Send your first envelope.
  2. Watch it get signed.
  3. Complete a signed document.
  4. Save a reusable template.
  5. Verify a signed document.
The card follows what you personally have done, so each new colleague gets their own fresh checklist.
