Retention and automatic purging

Delete documents after a set period while keeping the proof that they existed.

Keeping every document forever is a liability as well as a cost. Retention policies delete the paperwork on a schedule while preserving the evidence.

Two settings

Under Admin → Settings:

  • Retention (days) — how long to keep documents after an envelope finishes.

After this, the PDFs are deleted.

  • Draft retention (days) — abandoned drafts are removed entirely after this.

Set either to 0 to keep things indefinitely.

What survives a purge

When documents are purged, SignSpry keeps:

  • the envelope record — title, parties, dates, status
  • the complete hash-chained audit trail
  • the document hashes, so a copy someone else holds can still be verified

What goes is the file itself. You can still prove what happened and that a specific PDF is the genuine one; you just no longer store the contents.

Why this shape

India's Digital Personal Data Protection Act, 2023 expects personal data to be erased once its purpose is served. Retention gives you that, without destroying the audit record that shows you met your obligations.

Purging is permanent and runs automatically. Test with a long period first, and make sure anything you're legally required to retain — tax records are typically eight years — is outside the policy or archived elsewhere.
