Invite people and choose their role
How to add colleagues, what happens when they already have a SignSpry account, what each role can do, and how seats work.
Admins add people under Admin → Users. Each person gets a role, and each active person uses one seat. Signers never use a seat.
Add someone
- Open Admin → Users.
- Under Add a user, enter their full name and email.
- Pick a role (Member is pre-selected).
- Press Add user.
They get an email with a link to set their own password, valid for 7 days. If email isn't configured for your installation, the page shows a one-time password instead, once, for you to pass on.
If they already have a SignSpry account
Someone who signed up on their own can't be created a second time. Instead they get an invitation, and you see them under Invitations waiting with the role they'll have on joining.
- The link is valid for 7 days. Press Withdraw to cancel it.
- They must be signed in as the invited address to accept.
- Accepting moves their envelopes and templates into your organisation. Nothing is deleted, and they work under your plan, teams and branding from then on.
- If they are the only member of an organisation with a paid plan, they are asked to cancel that subscription first.
Roles
| Role | Can do |
|---|---|
| Viewer | Sign and view only. |
| Member | Send envelopes and keep their own templates. |
| Manager | Everything a Member can, plus the three extras below. |
| Admin | Everything, including the admin pages. |
Extra permissions give a Member one Manager power without promoting them: Bulk send, Team reports (reports across the whole organisation rather than your own envelopes) and Share with everyone (share templates, make organisation-wide folders). Details are in Roles and permissions.
Seats
| Plan | People |
|---|---|
| Free | 1 |
| Starter | 3 |
| Team | 25, plus yearly member packs |
| Enterprise | 500 |
Only active people count. Accounts opened under older terms may have more; Plan & billing shows "N of M seats used" for yours. If you're full, Add user tells you so and points to a member pack or an upgrade.
Single sign-on
If your organisation uses single sign-on, you can let SignSpry create a member the first time someone from your domains signs in (this uses a seat), with the role you choose for new members. SCIM can create and remove people for you. Roles are still adjusted under Admin → Users.
When someone leaves
- On their row, press Deactivate. They are signed out at once and their seat is freed.
- If they had sent envelopes, press Transfer and choose a colleague. Ownership moves, live signing links keep working, and each audit trail still shows who originally sent it.
