Workflows — automate what happens around an agreement

Drag a process onto a canvas: when this happens to an agreement, do these things.

A workflow is a rule: when an agreement reaches this state, do these things. Build it on a canvas rather than in a form.

Triggers

  • the envelope is sent
  • all parties have signed
  • someone declines
  • it expires unsigned

Optionally narrow it further: only when the title contains "NDA".

Actions

  • Email someone — a person or a team inbox
  • Post to Slack or Teams — into your connected channel
  • Create an obligation — diarise a follow-up N days out, with its own reminder
  • File in a folder — move it into a team folder automatically
  • Transfer custody — hand ownership to a colleague

Building one

Go to Workflows. The trigger and condition are already on the canvas; click an action in the palette to add it. Fill in its details on the node, drag nodes to arrange them, and save. Node positions are saved with the workflow.

A worked example: when an agreement whose title contains "Lease" is fully signed, email legal@, post to the property channel, file it in the Leases folder, and create a review obligation 45 days out.

Where they run

Server-side, the moment the trigger fires — no polling and no third-party automation tool in the middle. Everything a workflow did is written into the envelope's audit trail, so it's verifiable later.

The Rules (list view) page shows the same workflows as a plain list, which is easier when you have a lot of them.
