Locked templates — freezing the wording

Let the team send a document without letting anyone alter what it says.

A shared template stops people rebuilding the same document. A locked template stops them changing it.

What locking does

When an admin locks a template, anyone sending from it can fill in recipients and send — but cannot:

  • move, add or remove fields
  • change field labels or requirements
  • alter the number of recipients or their roles

The document text and the field layout are frozen exactly as the admin set them.

Why it matters

Most contract risk in a growing company isn't dramatic — it's a salesperson quietly deleting the liability cap to close a deal. Locking makes the standard document actually standard, and makes any departure from it a deliberate, visible act.

Locking one

Under Templates, open the template and choose Lock. Only admins can lock or unlock. The lock is enforced on the server, not just hidden in the interface: an attempt to alter a locked template through the API is rejected too.

Pair a locked template with a workflow that notifies legal whenever one is sent, and you have a light-touch contract control system without a contract management project.
